TERMS & CONDITIONS

Please read these booking terms and conditions before booking your holiday cottage accommodation. If you have
any questions about these, please don’t hesitate to contact us.

CONTRACT OF HIRE
Norfolk Coastal Cottages (“NCC”) acts as Booking Agent on behalf of the owner (“the Owner”) of the holiday
accommodation that you (“the Hirer”) will be occupying. The contract (“Contract”) for renting the property (“the
Property”) is between the Owner of that Property and you the Hirer. NCC is responsible for the administration of
your booking and does so solely on behalf of and as agent for the Owner. The Owner hereby agrees to let the
property to you on the following terms and conditions.

HIRER
The Hirer is the person named on the booking form, and he/she is responsible for the obligations and
conditions of hire. The Hirer shall not pass the booking to another party and shall be in residence at the
property during the whole of the letting period. The Hirer must notify NCC of any changes to the number
of people staying at the property in writing before the booking starts, this must not exceed the maximum
number allowed to stay at the property. You must be aged 21 years or over when the booking is made.

INITIAL PAYMENT / BALANCE PAYMENT
A deposit of 25% of the rental fee is payable if the booking is made more than 8 weeks before the start of the rental
The balance of the payment shall be payable 8 weeks before the commencement of the rental. For bookings made
less than 8 weeks before the commencement of the rental the total rental is payable. Payments can be made via
bank transfer or UK cheque or Credit/Debit card. Norfolk Coastal Cottages charges an administration booking fee
of £12 which is in addition to the prices shown on the website.
There is no charge for payments made by credit card, debit card, or bank transfer. We do not accept American
Express or Business Credit/Debit Cards.

CONFIRMATION OF BOOKING
Once a Confirmation of Booking has been issued the Hirer is responsible for the total rental price of the property
shown on the Confirmation of Booking

CANCELLATION
Any cancellation made by the Hirer for whatever reason should be made in writing or by email. NCC on behalf of
the Owner will, upon receipt of the notice of cancellation, look to re-let the property for the booked period. If NCC
is successful in re-letting the property we shall refund a sum equal to the rental fee received for the re-letting, less
an administration charge of £20.00. If NCC only succeeds in re-letting the property for part of the period booked
we shall refund an amount equal to the money paid for the re-letting, less the rental for the period which is not
re-let and an administration charge of £20.00. If NCC is unable to re-let the property, then the Hirer is deemed
liable for the total rental price of the property shown on the Confirmation of Booking.
NCC strongly recommends that the Hirer takes out Health and Holiday Cancellation insurance.
The Contract of Hire is made on the understanding that the property and its facilities advertised are available for the
dates stated. In the unlikely event that the property is not available through events arising outside the control of the
Owner / NCC, then the Owner/NCC may be forced to cancel the booking and the Hirer will be advised as early as
possible. Where possible the Hirer will be offered alternative dates at the same property at a reduced rate or
suitable alternative accommodation, which, if not acceptable, will entitle the Hirer to a refund of all monies paid.
The Hirer will not as a result have any further claims against the Owner or NCC.

ALTERATIONS TO BOOKINGS
We may be able to consider a request from the Hirer to change the dates of the booking after confirmation has been
issued if the request is received more than 8 weeks away from the start of the booking. We will provide a list of
alternative dates at the same price or less and will transfer the deposit paid – this will be subject to a £30
administration charge.

PERIOD OF HIRE
Rentals commence, unless otherwise stated on the booking form, at 4pm on day of arrival and terminate at 10.00
am on day of departure. Please do not arrive early, unless previously arranged, as time is needed to clean the
property between lets. Special arrival & departure times agreed with NCC will be confirmed in an email.

HOLIDAY INSURANCE
NCC recommends the Hirer to arrange holiday insurance that includes cover for cancellation and the Hirer’s
personal property.

USE OF PROPERTY
The property will be used for personal and domestic purposes only. The property shall not be used for any
commercial purposes. All children staying at the property must be accompanied at all times by their parents, or
legal guardians. The Owner reserves the right to terminate the Hirer's stay if they or members of their party display
unreasonable behaviour or excessive noise, cause nuisance to other parties or damage to the property, or if the
number of persons occupying the property exceeds the maximum stated. This booking is granted by the Owner to
the Hirer for the Holiday Period and is not intended to create the relationship of Landlord and Tenant between the
parties. The Hirer is granted the right to occupy the property for the holiday period specified but the Hirer has no
right to remain in the accommodation after this time and shall not be entitled to any statutory security of tenure.

RIGHT OF ENTRY
The Owner or representative of NCC reserves the right to enter the property at reasonable times to inspect the
property and carry out both emergency repairs and normal maintenance including gardening etc., or at anytime if
there is cause for concern that the booking conditions are being broken.

PETS
Pets where allowed must be kept under control and supervision at all times. They must not be allowed on the
furniture or in the bedrooms. Please ensure that the gardens are cleaned of their mess before your departure.

SMOKING
Smoking is not permitted in any part of the property.

WIRELESS BROADBAND – WHERE PROVIDED
Where a wireless broadband service is provided it is intended that this service is primarily for email, downloading
small files and “surfing” and should only be used for legal uses. Excessive downloading of very large files will be
chargeable. Please note that the broadband speed at the property cannot be guaranteed.

HIRER’S RESPONSIBILITIES
The Hirer is responsible for the Property and is expected to take all reasonable care of the furniture, pictures, fittings and other
contents and shall leave them in the same state of repair and condition at the end of the rental period as at the beginning. All
equipment, utensils etc must be left clean, and the Property must be left clean and tidy at the end of the hire period.

SECURITY DEPOSIT
Each Owner charges a refundable security deposit for a rental. Some owners ask for cleared funds to the total of the
security deposit to be charged before guests arrive, some ask for a cheque to be held.  The sum is held to cover any losses, damage and additional cleaning charges that may arise if the property is left in an unsatisfactory condition however caused, but excluding reasonable wear and tear including minor breakages such as a wine glass or piece of crockery. Should you find on arrival any damaged or non-working items, they
must be reported to NCC immediately, so that matters can be rectified. The Owner or NCC reserves the right to
repossess the property at any time, where the Hirer or any member of the Hirer’s party has caused damage and, in
such circumstances, the Owner or NCC shall not be liable to make a refund of any remaining portion of the
accommodation rental paid.
Part or all of this deposit will be retained to cover additional cleaning costs or to pay towards the cost of any
damage to the property or contents. In the event that the cost of rectification for losses or damage caused by the
Hirer or a member of their party exceeds the Housekeeping Deposit held, NCC will advise the Hirer of any
additional amount owning and shall forward the Hirer’s contact details to the Owner for them to facilitate recovery
directly.  The housekeeping staff will check the cottage and if there are no problems the security deposit will be returned to the guest within 48 hours of departure.

SPECIAL CONDITIONS & RESTRICTIONS
Any special conditions for a Property are noted on the Property web page, the Booking Form or accompanying
letter.

CIRCUMSTANCE BEYOND THE CONTROL OF THE OWNER / NCC
Except where otherwise stated in these Conditions, neither the Owner nor the NCC shall be liable for any change or
cancellation which is a result of unusual and unforeseeable circumstances beyond its reasonable control; for
example breakdown of domestic appliances, plumbing, wiring fire, flood, exceptional weather conditions,
epidemics and invasion of pests.
